Distance turns small service moments into long walks
On a terrace, staff spend more time moving between service points. Tables may sit behind planters, parasols, corners or different levels. A server can complete a full round while the one guest who wants another drink remains just outside the line of sight.
Adding another employee can help capacity, but it does not automatically fix discovery. If the team still depends on visually scanning every table, more people can repeat the same inefficient rounds.
Give every table a direct route to the team

Add staff when the data shows true capacity pressure
Better visibility does not mean a venue never needs more people. It means the staffing decision becomes more informed. If requests are visible immediately and still wait because every employee is genuinely occupied, capacity is the likely constraint.
If waits disappear after a zone or routing adjustment, the problem may have been operational design rather than headcount.
Measure walking pressure as well as waiting pressure
Terrace operations can feel understaffed because employees are constantly moving. Look at where requests originate and compare that with the routes staff repeatedly walk. If the same distant zone generates many requests, management may need a different station, handover point or coverage pattern rather than simply another full-time employee.
InstaServe does not track staff movement as a surveillance tool. The request map itself can still reveal whether the service geography is creating unnecessary travel.
Build the setup for seasonal change
Many terraces are not static. A venue may open an extra section on sunny days, extend into a garden for events or close part of the outside area in winter. Table and zone assignments should be simple enough to reflect those changes without confusing the team.
A clear naming convention and expandable console setup help the service system follow the venue instead of forcing the venue to follow the technology.
